Inspection can delay the handover of a unit, floor or entire building not because there are exceptionally many defects, but because no one can quickly establish their location, scope and responsible party. Most common mistakes during building inspections usually begin much earlier than when signing the report. They arise when notifications end up as photos in messengers, notes on printouts and several versions of an Excel spreadsheet.
Well-conducted inspection is not about compiling the longest list of defects. Its goal is to take each note from identifying the non-compliance, through assignment and repair, to clear confirmation of closure. Below are the mistakes that most often break this process - and practical ways to avoid them.

Lack of established scope and inspection criteria
Inspection without a clearly defined scope quickly turns into a discussion about expectations. One party evaluates compliance with the design and specification, another relies on execution standard, and the end client points out elements that were not in the agreements. As a result, the report includes defects, minor aesthetic comments, tenant changes and issues requiring design decisions.
Before starting the inspection, it is worth establishing exactly what the inspection covers: a specific unit, common areas, installations, stage of work or the entire contractor's scope. It is equally important to indicate reference documents. These may be working drawings, standard cards, technical specifications, inter-trade agreements or earlier agreements recorded in meeting minutes.
Not every identified issue must be a defect. If it requires investor or designer decision, it should receive its own category and decision owner. Such distinction limits disputes about what the contractor needs to fix and what still requires agreement.
Imprecise defect location
Descriptions like "crack on the wall", "missing silicone in the bathroom" or "lighting problem" are not work assignments. On a larger construction site there may be dozens of similar locations. The crew wastes time searching, the person inspecting doesn't know if the right point was fixed, and after a few days no one remembers the context of the report.
Each note should indicate the building, floor, unit or zone, room and possibly the exact location. In practice, marking the point directly on the current floor plan works best. A point on the plan eliminates guesswork, especially when one person conducts the inspection and a different crew performs the repairs.
Precision also matters with recurring defects. Instead of one report "door adjustment in units", it is better to register separate points for specific doors. The scope of work becomes countable, and the status of each item can be verified independently.
Photos without description and without scale proof
A photograph is valuable only when it is clear what it shows. A close-up of paint chipping without information about the room, element and scale may be useless the next day. Similarly, a photo taken after repair that doesn't allow comparing the result with the original defect.
A good report combines a brief, factual description with a photograph. The description should specify the element, type of non-compliance and expected result, for example: uneven paint coating at the door frame, requiring re-preparation and painting. When scale is important, it's worth adding a measuring tape, level or a wider view of the partition.
It is not about creating extensive photographic documentation for every minor comment. It is about the person performing the repair not having to call for additional clarification, and the person inspecting being able to confirm the result based on clear data.
Assigning a task to a company instead of a responsible person
An entry "to the electrician" or "to the contractor" does not assign responsibility. A company may have several crews, a changing site manager and subcontractors working on different fronts. Without a specific recipient, the report easily remains in a general state because everyone assumes someone else will handle it.
For each item, the contractor responsible for the repair, contact person and deadline should be indicated. In projects with more complex structure, it is also useful to divide into the person reporting, the person overseeing and the person approving closure. This is particularly important for inter-trade defects, where the source of the problem and repair scope may belong to different entities.
Responsibility does not mean finding fault. It is operational information about who should perform the next step and who should receive a message about the status change.
Closing defects without quality control
A common pattern looks like this: the contractor informs by phone that the repair is ready, and the report is marked as closed. Only at the next inspection does it turn out that the defect still exists, the wrong element was fixed or the repair created a new non-compliance.
It is worth separating completion status from confirmation status. The contractor can mark the item as ready for inspection and attach a photo after repair. Closure should only occur after verification by an authorized person - inspector, project manager, investor representative or the person conducting the unit inspection.
This step requires discipline, but does not have to lengthen the process. For minor, clear repairs, verification can be based on photographic documentation. For installations, sealing, carpentry adjustments or elements affecting safety, on-site inspection is necessary. The scope of verification depends on risk, not administrative convenience.
Deadlines without priorities and without realistic work sequence
Setting one date for all defects provides apparent control. In reality, missing emergency exit markings are different from damaged baseboards, and something else entirely is a defect whose repair first requires another trade to finish their work.
Reports should have priority and deadline adjusted to the schedule. Critical non-compliances affecting safety, use or the next stage of work must be escalated immediately. The rest can be grouped by trade, zone or planned crew entry. This way the contractor gets a queue of work, not a random collection of messages.
It is also worth noting the reason for deadline postponement. If repair cannot start due to lack of material, waiting for decision or room unavailability, the information should be visible in the report history. This protects both parties from interpreting that the task was simply ignored.
Dispersed communication outside the protocol
Phone is good for urgent contact, and a messenger message can speed up crew response. The problem appears when agreements about scope changes, deadlines or repair acceptance are made there. After a week, participants have different versions of events, and the person preparing the report must manually reconstruct history.
The safest rule is simple: a call can start action, but the result of the call should go into the report. A short comment with date, deadline change or technical decision is enough to maintain documentation continuity. For staged inspections, this history often has greater value than the final protocol itself.
How to organize an inspection that leads to defect closure
An effective process starts with preparing the current structure of the building: buildings, floors, units, zones and floor plans. Then the person conducting inspection registers the note at the location where it was identified, adds description and photos, assigns responsibility, priority and deadline. The contractor sees only tasks within their scope or receives a clear report for execution.
After repair, the report does not disappear. It changes status to ready for verification, receives documentation after repair and waits for confirmation. Only then is the item closed. Such workflow allows answering three questions at any time: where is the defect, who should remove it and whether the repair was actually verified.
